1. Definitions

• "Willowvault", "we", "us", "our" — the business registered and operating at 9 Jalan Merdeka, 75000 Melaka, Malaysia.
• "Services" — the records organisation, cataloguing, indexing, labelling and administrative coordination programmes offered by Willowvault, including the Orientation Entry, Guided Records Programme and Full Ledger Programme.
• "User", "you", "your" — any person who accesses our website or engages with our Services.
• "Household" — the person or family unit whose records are the subject of a programme engagement.
• "Programme" — a structured engagement between Willowvault and a Household, comprising sessions, written outputs and coordination activities as described in the relevant programme specification.
• "Agreement" — these Terms and Conditions together with any written engagement confirmation exchanged between Willowvault and the Household.

2. Acceptance of Terms

By using our website or engaging with our Services, you agree to be bound by these Terms and Conditions. If you do not agree, please do not use our website or Services. Our Services are intended for individuals aged 18 years and over. By engaging with us, you confirm that you are at least 18 years of age and have the legal capacity to enter into a binding agreement under Malaysian law.

3. Description of Services

Willowvault provides records organisation, cataloguing, document mapping, indexing, labelling, scanning coordination and related administrative support to households managing inherited or accumulated records. Our Services are educational and informational in character. We do not provide legal, financial, tax, valuation or any other regulated professional advice, and nothing we produce constitutes such advice.

Our Services are currently available to households based in Malaysia, with in-person sessions conducted in Melaka and the surrounding area. Orientation Entries are available by video call to households elsewhere in Malaysia.

4. Enquiries and Engagement

Submitting an enquiry through our website does not constitute an engagement or create any obligation on either party. An engagement is formed when both parties have exchanged written confirmation of the programme, scope and fee. Willowvault reserves the right to decline any engagement without giving a reason.

5. Scope of Services and Limitations

Willowvault's work is limited to sorting, scanning, cataloguing, indexing, labelling and writing plain summaries and orientation documents. We do not:

• Interpret the legal, financial or tax effect of any document.
• Value assets, real property or objects.
• Draft, file or submit documents to any authority.
• Represent clients before any court, tribunal or government body.
• Provide advice on probate, inheritance, estate planning or related matters.

Questions falling outside our scope are recorded in a written register and returned to the Household. We recommend taking such questions to a qualified solicitor, accountant or other licensed professional.

6. Your Responsibilities

• You will ensure that a coordinator has reasonable access to the household and its records for each agreed session.
• You will inform us of any circumstances that affect the safety or practicality of in-person sessions.
• You will provide accurate contact information and respond to communications within a reasonable time.
• You will not ask or expect us to carry out any activity outside the described scope of Services.
• You will not use our website for any unlawful purpose or in a way that infringes the rights of others.

7. Intellectual Property

All written materials, templates, workbooks and other outputs produced by Willowvault under a programme are provided for the personal use of the engaging Household. You may use them freely for that purpose. You may not reproduce, resell or distribute them as commercial products without our written permission.

The content on our website — including text, design and graphic elements — is the property of Willowvault. Nothing on this website grants you a licence to reproduce or adapt our website content.

8. Fees and Payment

All fees are quoted in Malaysian Ringgit (RM). Current programme fees are:

• Orientation Entry: RM 490
• Guided Records Programme: RM 1,680
• Full Ledger Programme: RM 4,650

Fees are payable as agreed in the written engagement confirmation. For the Guided Records and Full Ledger Programmes, staged payment arrangements are available on request. All fees are inclusive of the session time, written outputs and materials specified for each programme.

If a Household ends a programme before its conclusion, the fee for sessions conducted to that point is payable in full. No fee is payable for sessions not yet conducted. We do not issue refunds for completed sessions.

9. Confidentiality

Willowvault treats the contents of a Household's records as confidential. Coordinators sign confidentiality agreements before any session. We will not disclose the contents of a Household's records to any third party except as required by Malaysian law or with the Household's written consent.

This obligation continues after the conclusion of any programme and does not expire.

10. Disclaimers

Our website and Services are provided on an "as available" basis. We make no representation that the information on our website is complete, current or free from error. We are not responsible for decisions made in reliance on information provided on our website.

Willowvault's Services are administrative and informational in character. We do not represent that the use of our Services will achieve any particular outcome for a Household's legal, financial or personal affairs.

11. Limitation of Liability

To the fullest extent permitted by Malaysian law, Willowvault's total liability to you for any claim arising from these Terms or from our Services shall not exceed the total fees paid by you in the six months preceding the claim.

We are not liable for any indirect, consequential or special loss, including loss of profits, loss of data or loss of opportunity, whether arising in contract, negligence or otherwise.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

12. Termination

Either party may end a programme at any time by giving written notice. On termination: all outputs produced to that point remain the property of the Household; fees for sessions conducted are payable; no further sessions are arranged. Willowvault reserves the right to terminate an engagement if a Household's conduct makes it impractical or unsafe to continue.

13. Dispute Resolution

These Terms are governed by the laws of Malaysia. Any dispute arising from these Terms or from our Services shall be subject to the exclusive jurisdiction of the courts of Malaysia.

Before commencing formal proceedings, we invite any party with a complaint to contact us at [email protected] so that we may seek to resolve the matter informally.

14. General Provisions

• Entire agreement: These Terms, together with any written engagement confirmation, constitute the entire agreement between the parties regarding the Services.
• Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions continue in full force.
• Waiver: Failure to enforce any provision does not constitute a waiver of the right to enforce it subsequently.
• Assignment: You may not assign your rights under these Terms without our written consent. We may assign our obligations with reasonable notice to you.

15. Changes to These Terms

We may update these Terms from time to time. The "last updated" date at the top of this page reflects the most recent revision. For active programme engagements, we will give written notice of material changes before they take effect. Continued use of our website after a change takes effect constitutes acceptance of the revised Terms.

16. Contact
