Three ways to begin the work

Each programme is designed around the household doing its own sorting, with a coordinator alongside. No papers leave your hands. No regulated professional service is provided. What you receive is method, time and company.

Orientation Entry

A single ninety-minute conversation — in person in Melaka or by video call — for families wanting to understand what records work involves before deciding whether to begin.

Guided Records Programme

Eight weeks, four fortnightly sessions. Each session takes one area of the household's records — property, memberships, correspondence, photographs — and finishes it properly.

No timetable imposed

Sessions are spaced to suit you. If a month's pause is needed, a month's pause is taken. Nothing is rushed and no pressure is placed on how quickly things move.

Papers stay in your hands

We do not take documents away. Every original remains with the household. Our role is to help you arrange what you already hold, not to hold it for you.

One coordinator throughout

The same person is present from orientation to final walkthrough. Families do not need to recount their situation to a different face at each stage.

A clear register of what remains

Every open point — matters requiring a solicitor, accountant or valuer — is written down in plain language. Nothing important is left floating.

Plain language throughout

We write summaries and notes in ordinary English. Documents produced by Willowvault are written so that a family member with no prior knowledge can follow them.

No regulated activity

Cataloguing, indexing and administrative coordination require no professional licence. Families know exactly what they are receiving and what falls outside our scope.

Writing to us starts a quiet exchange. We will describe what the work involves, give a sense of how long it tends to take, and answer whatever comes to mind. There is no expectation of further engagement.

What families usually want to know first

What exactly does a coordinator do during a session?

The coordinator brings method and questions. In each session we take one area — say, correspondence or property records — agree what counts as active versus archive, decide a naming scheme and work through the material together. You handle the papers. We provide a written plan before each session and a short note afterwards. Between sessions, you work from the template at your own speed.

Do I need to have everything sorted before we begin?

Not at all. Families who come to us are usually starting from a position of disorder — boxes unopened for years, digital files spread across several drives, paper mixed in with photographs and objects. The Orientation Entry was designed specifically for people who do not yet know what they have or where to begin.

How long does the Full Ledger Programme actually take?

Up to twenty sessions across twenty weeks — roughly one session each week, though the pace is adjusted to what the household can manage. Families with material spread across more than one property, or with a great many decades of accumulation, should expect to be at the upper end. We will give an honest estimate after an Orientation Entry, when we have a clearer picture of the volume.

Can Willowvault advise on what a document means legally or financially?

No. We sort, label, scan, index, catalogue and write plain summaries of what a household holds and how it is organised. We do not interpret documents, comment on their legal effect, value assets or advise on tax, probate or financial matters. Where a question touches any of those areas, we note it in the open-questions register so you can take it to the appropriate professional.

What happens to my documents between sessions?

They remain in your home, in your hands, at all times. Willowvault does not remove, retain or store original documents. Where we scan material for the digital archive, the scan is placed on family-owned storage — a drive you hold, not a cloud account we control. You can end the programme at any point and keep everything we have produced up to that session.

Are sessions available outside Melaka?

The Orientation Entry is available by video call to anyone in Malaysia. For the Guided Records and Full Ledger programmes, which involve working alongside you in the household, sessions are arranged within Melaka and the surrounding area. We are glad to discuss whether a programme can be adapted for a household in another location on a case-by-case basis.

How much does it cost and are instalments possible?

The Orientation Entry is RM 490. The Guided Records Programme is RM 1,680. The Full Ledger Programme is RM 4,650. All fees are in Malaysian Ringgit. For the longer programmes, we are open to discussing a staged payment arrangement that aligns with the session schedule. Please mention this when you write to us and we will set out the options.
